#1457 - Accounts Administrator/PA/Farm Secretary - Cotswolds

An enthusiastic, friendly, discreet and organised individual is required to work as an accounts administrator/PA/Farm Secretary overseeing Accounts, supporting the Farm Manager and assisting the Principal with PA duties. Being able to multi task is essential! This is a 4 day week role. Hours approx 9am - 2.30pm.

The candidate must have a passion for the Countryside and farming, and be within commutable distance to Stow on the Wold. This is a role where you will be based in the office so you must live locally.

General requirements & background

The role of Farm Secretary and Accounts Administrator is to ensure the smooth, efficient and compliant management of the various businesses and office as well as providing day to day organisation and assistance to the owner of the farm.

Confidentiality, discretion and accuracy are essential along with self-motivation and efficient processing of information and data.  

Core Duties

You’ll be responsible for the smooth running of the farm business, dealing with accounts, VAT, budgets, salaries and other financial issues as well as filing, general office administration, compliance and record keeping.

You’ll likely be the first point of contact with suppliers and customers.

You’ll work closely with the Farm Manager, Events Manager and other estate/family employees and professional advisors to ensure that all tasks are completed in a timely and efficient manner and in compliance with relevant legislation.

You will report directly to the Farm Manager and work as part of the team across the estate based in the farm office.

You will be required to undertake the following (please note this list is not definitive but it gives you a good indication of the role):

·        Financial management: financial record keeping and processing of transactions; ensuring accounts are balanced and accurately processed on the software; calculating pay and processing of payroll; VAT submission.

·        Liaising with accountants over end of year accounts, and personal tax returns and preparing necessary end of year data and information as requested from time to time by professional advisors.

·        Software: Using agricultural business software and HMRC-approved digital financial software – currently Xero. The candidate must be experienced using this system, and handling accounts.

·        Procurement: Ordering and paying/setting up for payment, equipment and supplies and liaising with the Farm Manager, owner and other estate workers over payments

·        Record-keeping: supporting the Farm Manager in keeping records of livestock, crops, government grants, tenancy agreements, legal documents and other appropriate records for a farm and rural estate.

·        Communication: Ensuring effective communication between staff and professional advisors.  

·        Reporting monthly on cash flow and projected cash flow requirements

·        Compliance: Ensuring that tasks are completed in compliance with relevant legislation 

·        Administrative tasks: Management of email account, filing, and other general administrative tasks 

·        Legislation: Keeping up to date with farming, health and safety, and tax laws 

·        Point of contact: Being the first point of contact with suppliers and customers, therefore a friendly and approachable manner is essential.
